Summary
- Promomed is an innovative biopharmaceutical company with growth potential in promising market segments. Its conference should reflect that: a designed system, not a set of talks.
- An ordinary conference ends when the hall empties. The participant takes home a folder of materials they will not open again, and the audience relationship built over the year does nothing for the event.
- The unit of value is not a one-day event but a route for the year: the community works between conferences, and the conference builds on accumulated ties with clients and partners.
- “SOSTOYANIE” (“СОСТОЯНИЕ”) is being built for Promomed. The prototype is ready to demonstrate: it shows what the company, its partners and each participant receive.

In most companies, the community and the conference are two unconnected tools.

Newsletters and social media run all year, but they neither prepare the company’s main event nor strengthen it.

The conference starts from zero every time
Registration, programme, stands and communication are rebuilt for each conference, with nothing carried over from the last.

What remains afterwards is a pack of materials, not a connection
The audience built over the year does not become the foundation for the event. The participant leaves with handouts, and contact stops until the next conference.
02 — Approach
Not a one-day event but a route for the year
“SOSTOYANIE” is one platform for the community and the conference.
The health community stays active between conferences, and the conference builds on accumulated ties with clients and partners, so Promomed never starts from a blank page. The platform builds each participant a personal route for the day: what matters to them, what to fit into a free 20 minutes, and which trace to keep, the “SOSTOYANIE Passport”. The organiser sees the conference in figures, not by the team’s gut feel. The prototype covers the participant journey on iPhone and the operations side of conference day. Screens and functions adapt to the real programme.
The route and interests take shape before the conference opens, and a “for you now” section suggests the next step. On the day, the organiser sees the hall, queues and speaker readiness on one screen instead of relaying them by radio. Each new conference builds on the system and the community and needs no rebuild.
03 — Who it is for
Promomed, participants, the on-site team and partners
Several roles share one hall, and each usually keeps its own notes and its own version of the data. In “SOSTOYANIE” each role has its own interface on shared data.

A standing link with clients and partners, and a conference whose figures are visible in real time.

Conference participants
A personal day plan instead of a printed programme: registration and profile, a personal route, seat booking and a waitlist, a QR ticket and, after the event, recordings of the talks.

On-site team
The organiser sees the hall and queues in real time; staff see their tasks and shifts. Speakers are tracked from registration to readiness to go on stage. Incidents are logged with a severity rating and SLA.

Partners
The result of a partnership can be measured: a personal account with a meeting desk, and leads only with the participant’s voluntary consent.
04 — Scope
From participant registration to real-time conference control
Three layers support the participant’s route: the participant journey, venue management and organiser analytics. All run on shared, real-time data.

Participant journey
Registration, profile, programme, personal route, ticket/QR, booking and waitlist. Each session has clear states, “scheduled → live → technical break → finished/recording”, with a defined boundary for captions and replay, so a guest always knows what is happening now.

Venue operations
A screen in place of radios and the organiser’s memory: hall map and occupancy, queues and hall status, staff assignments and quick replacement, incidents with severity rating and recovery, speaker readiness (“registration → briefing → microphone → slides → ready”), session attendance control, and the status of several streams at once.

Commerce and analytics
The value of a partnership and the effect of the conference show immediately, not a month later in a report: a partner account with a meeting desk, consent to share a lead, participant alerts, commercial analytics and Customer Intelligence over D1/D7/D30 horizons, and an Owner Control Tower with a consolidated view for management and a presentation mode.
